Why does my printer say offline when it is switched on?
Offline is the computer's opinion, not the printer's. Three questions that place the fault precisely — in the printer, on the network, or in the queue — and the underlying cause of the ones that keep coming back.

Short answer
Print a test page from the printer's own front panel. If that works, the printer is fine and the fault is between it and the computer. Then type the printer's network address into a browser: if its own web page appears, the printer is reachable and the problem is purely the queue on that computer, which is fixed by removing and re-adding the printer.
Offline does not mean the printer has told anyone anything. It means the computer tried to reach the printer, failed, and set a flag — and that flag frequently stays set long after the problem has gone. Working through it as three ordered questions turns a frustrating guessing game into about five minutes of work.
Step by step
- Print a configuration or test page from the printer itself.Every network printer can do this from its own front panel, usually under reports, information or network settings. It proves the printer works and, more usefully, prints its network address, which you need for the next steps.
- Read the address off that page.It will be something like 192.168.1.x. Write it down. If the page reports no address, or an address starting 169.254, the printer is not on your network and that is the fault.
- Type that address into a browser on the computer.If the printer's own web page loads, the computer can reach the printer and the network is not the problem. If it times out, the network is the problem and there is no point touching the queue.
- If unreachable, check which network each is on.A printer on 2.4 GHz and a computer on a guest network cannot see each other. Neither can devices split across two routers. A VPN on the computer that captures all traffic will also hide the local network.
- If reachable, clear the offline flag.On Windows, open the printer's queue, uncheck use printer offline, cancel every stuck job, and restart the print spooler service. On macOS, open printers and scanners, right-click the printer and choose resume, then clear the queue.
- Remove and re-add the printer.If the flag will not clear, delete the printer from the computer entirely and add it again, choosing it by its network address rather than by discovery. This resolves the case where the stored entry points at an address the printer no longer has.
- Delete the duplicates.Households accumulate three or four entries for the same printer, of which one works. Remove all of them and add one, then set it as default.
- Fix the recurring cause with an address reservation.If this happens every few weeks, the printer's address is changing when the router hands out a new one. Reserve it on the router against the printer's hardware address so it always gets the same one. That ends the problem permanently.
If it doesn't work
Works from the phone, offline on the laptop
Cause: The laptop's queue entry, not the printer — Fix: Remove and re-add the printer on the laptop. The phone is proving the printer and the network are both fine.
Offline every morning, fine after a restart
Cause: The printer is going into a deep sleep the computer cannot wake — Fix: Turn off or lengthen the sleep timer in the printer's own settings, or disable the energy-saving disconnect on its wireless.
Offline only when the VPN is connected
Cause: The VPN is capturing local traffic — Fix: Enable local network access or split tunnelling in the VPN client, or disconnect it to print.
Offline after a Windows update
Cause: A driver or spooler change — Fix: Remove the printer, remove its driver package from the print server properties, restart, and add it again fresh.
The printer shows an address starting 169.254
Cause: It joined the wifi but got no address — Fix: Restart the printer and the router. If it recurs, re-run the printer's wireless setup — usually it is still trying to use an old network name.
Questions people ask
Why does it say offline when the printer screen says ready?
The printer screen reports its own state. Offline is the computer reporting that it could not reach the printer, which is a completely different statement and is often stale.
Should I reinstall the manufacturer's software?
Usually not needed. Both Windows and macOS include drivers for almost all current printers and add them over the network without extra software. Reinstalling a bloated software suite rarely fixes an offline flag.
Why does it keep going offline every few weeks?
Almost always because the router hands the printer a different address and the stored queue entry still points at the old one. Reserve the address on the router and it stops.
