No single place covers everything, which is the entire point. A working copy on the device, a copy on an external drive that is not permanently plugged in, and a copy somewhere off site — cloud or elsewhere — covers drive failure, accidental deletion, ransomware, and the house burning down. A network drive adds capacity and convenience but is still in the same building.

The choice is usually presented as a product comparison, which is the wrong frame.   8. Choose the drive type for the job.Solid-state drives are fast and rugged for a drive that travels, but they are not the better choice for a copy left unpowered for a long time. A conventional hard drive is cheaper per gigabyte and well suited to a backup that sits in a drawer.

Common mistakes

  • Treating cloud sync as the backup — Sync copies the damage. Deletion, overwriting and ransomware all propagate to every synced copy, usually within seconds.
  • Leaving the backup drive permanently plugged in — It is then just another connected drive, exposed to exactly the same ransomware and deletion events as the internal one. Unplugging it is what makes it a backup.
  • Relying on a network drive's redundancy as a backup — Redundancy protects against a disk dying. It does nothing about deletion, ransomware, fire or theft, all of which take the whole unit.

If it doesn't work

A file was deleted weeks ago and has gone from every device

Cause: Sync, doing exactly what it is designed to do — Fix: Check the service's deleted items area and version history, which usually keep about thirty days. Beyond that only a real backup helps.

The external drive is not recognised any more

Cause: Cable, port, enclosure or the drive itself — Fix: Try another cable and port first. This is also the moment to check the other copy exists, which is precisely why there should be one.

Cloud storage is full and wants payment

Cause: Photos and video, almost always — Fix: Find what is using the space before deciding. Moving the large archive to a local drive with a second copy is often cheaper than an ongoing subscription.

Backups have not run for months and nobody noticed

Cause: No notification, or the drive was unplugged — Fix: Set a reminder, and check the backup date whenever you use the machine for anything important. Silent failure is the normal way backups die.

Is a network drive worth it for a household?

It earns its place where several people need the same files, where there is a large photo or video library, or where you want backups to run without plugging anything in. For one person with a laptop it is usually more than is needed.

Can I use two cloud services instead of a drive?
