School admin is not difficult individually. It fails because it arrives through five channels at once — an app, an email, a letter in a bag, a text and a conversation at the gate.

Step by step

  1. Put every date on one shared calendar.Term dates, inset days, trips, deadlines, non-uniform days, performances. Shared with everyone who does school runs. Two calendars means something will be missed.
  2. Add the whole year's term dates in one sitting.They are published well ahead. Half an hour in September puts every inset day and holiday in place and prevents the recurring childcare surprise.
  3. Enter dates with the detail attached.What is needed, what it costs, what to wear. A calendar entry saying only 'trip' means finding the letter again the night before.
  4. Turn on the app notifications, properly.Most schools use one system for messages and payments. If its notifications are off, the system does not work at all — that is the single commonest failure.
  5. Deal with each item on arrival.A form comes home, it gets signed, dated and put back in the bag now. Anything set aside for later reliably resurfaces after the deadline.
  6. Have one physical place for paper.A tray, a hook, a folder by the door. Bags get emptied into it every day. Paper still in a bag is invisible.
  7. Empty the bags daily.Two minutes. It is where letters, sandwiched notes and reply slips go to be forgotten.
