Why is System Data taking up so much space on my Mac?

The storage category you cannot click into, that grows to tens of gigabytes and refuses to shrink. What is actually in it, the four things that account for nearly all of it, and why the cleaning apps advertised against this problem mostly are not needed.

Short answer

System Data is not a folder, it is everything the storage chart could not put in another category — and on most Macs the bulk of it is Time Machine local snapshots, which macOS keeps on the internal drive and deletes automatically when space is needed. Before buying anything: empty the Trash, restart the Mac, and give it a day. Snapshots older than a day are purged automatically and the figure often drops by tens of gigabytes on its own.

The storage chart in System Settings sorts everything into named categories — Applications, Documents, Photos, Messages — and puts whatever it cannot classify into System Data. It is a residue category, not a thing, which is why it cannot be opened and why no two Macs have the same explanation for its size. That vagueness is exactly what the cleaning software industry has built itself around. In practice four things account for almost all of it, all of them identifiable, and two of them clear themselves given time.

Most of what is inside System Data is being managed by macOS and will be released on its own. Deleting folders inside your Library by hand — Application Support in particular — destroys application data, licences and saved work, and it is the standard advice on a great many web pages about this exact symptom. Work through the causes below in order and do not delete anything you cannot identify.
What is actually inside "System Data" on a Mac

Step by step

  1. Look at the number in the right place first.System Settings, General, Storage. Let it finish calculating, which takes a minute or two on a large drive. The figures shown while it is still working are wrong and cause a lot of unnecessary alarm.
  2. Understand the snapshot mechanism before deleting anything.Time Machine keeps local snapshots on the internal drive so you can restore even when the backup disk is not attached. They live in System Data, they are supposed to be there, and macOS deletes them automatically when free space runs low or as they age past a day. This is normally the largest single component.
  3. Empty the Trash properly, including in individual applications.Deleted files count against storage until the Trash is emptied. Photos and Mail keep their own Recently Deleted areas that hold items for a month independently of the main Trash, and on a large photo library that alone can be many gigabytes.
  4. Restart, then wait a day before doing anything more.A restart clears swap and a great deal of temporary state, and it gives the snapshot purge a chance to run. This costs nothing and resolves a meaningful proportion of cases outright. Judge the number after that, not before.
  5. Check for local copies of cloud files.If iCloud Drive, Photos or Desktop and Documents syncing is on, macOS keeps local copies of what you have used recently and evicts them under pressure. Turning on Optimise Mac Storage tells it to be more aggressive. These copies show as System Data on some versions and confuse the picture badly.
  6. Look for the genuinely large individual offenders.The usual list: iOS device backups made through Finder, old Xcode or developer support files, virtual machine disk images, downloaded video from streaming apps, and Mail attachments if Mail is set to download everything. All are findable with a disk usage tool that shows folder sizes.
  7. Use a disk-usage viewer rather than a cleaner.The useful tool is one that shows you which folders are large so you can decide. A cleaner that decides for you is the category to be careful with — and no third-party tool can delete a Time Machine snapshot any faster than macOS purges it.
  8. Force snapshot removal only if you genuinely need the space now.The tmutil command can list and delete local snapshots directly. It is safe in the narrow sense that your Time Machine backups on the external disk are unaffected, but it removes your ability to roll back locally. Use it when you need space today, not as routine maintenance.

Common mistakes

  • Deleting folders inside ~/Library by hand — Application Support holds live application data, licences, mail archives and settings, not junk. It is the single most damaging piece of advice circulating about this symptom, and it is on a great many pages.
  • Buying a cleaner because System Data is large — The largest component is usually snapshots, which macOS removes on its own and which the cleaner is simply waiting for too. Check the free-space trend over two days before paying for anything.
  • Judging the figure while the calculation is still running — It fluctuates wildly for the first minute or two on a large drive. A great deal of alarm about this number is about a number that was never final.

If it doesn't work

Tens of gigabytes of System Data and a Time Machine disk in use

Cause: Local snapshots — Fix: Expected behaviour. They age out after a day and are purged automatically under space pressure. Restart, wait, and re-check before doing anything else.

Grew suddenly after connecting an iPhone

Cause: A device backup was made to the Mac — Fix: Finder, select the device, Manage Backups, and delete the ones you do not need. These are often 50 GB or more each and nothing warns you they exist.

System Data grows while you use one particular app

Cause: That app's cache — Fix: Some applications — browsers, video editors, music production software, streaming apps that download offline content — cache aggressively. Clear it from within the application's own settings rather than by deleting folders.

The figure never settles and keeps changing

Cause: The calculation is still running, or files are being created as fast as they are removed — Fix: Let it finish. If it genuinely never settles, look for a runaway log file — an application in a crash loop can write gigabytes of logs in a day.

Almost no free space and macOS will not update

Cause: The updater needs working room — Fix: A macOS update needs substantially more free space than the download itself. Clearing snapshots is the standard way to make that room, and this is one of the legitimate uses of the tmutil route.

Cleared everything and it came back within a week

Cause: Snapshots regenerating, which is normal — Fix: They will, and they should. The right response is to have enough free space that macOS can manage itself — roughly 10 to 15 per cent of the drive kept free is a reasonable target.

Questions people ask

How much System Data is normal?

There is no fixed answer because it is a residue category, but on a machine with Time Machine enabled it commonly runs from ten to fifty gigabytes and moves around day to day. What matters is not the number but whether your free space is trending downwards over weeks, which is the sign of something genuinely accumulating.

Will deleting local snapshots affect my Time Machine backups?

No. The backups on your external disk or network destination are separate and untouched. What you lose is the ability to restore a file from the local copy when that disk is not attached, which is a convenience rather than your backup.

Why can I not just click into System Data like other categories?

Because it is not a location. It is the total of everything the storage chart could not attribute elsewhere — caches, logs, snapshots, swap, system files, application support data and containers — spread across the whole disk. That is a genuine limitation of the chart rather than something being hidden from you.

My Mac says the disk is nearly full but I cannot find the files

Almost always snapshots plus Trash plus cloud-file local copies. Empty everything, restart, wait a day. If free space is still not returning, a disk usage tool that shows folder sizes is the honest next step — it will name the folder, and then you can decide.
