How do I go paperless without losing everything?

The scanning is the easy part. What decides whether it works is the naming, the retention rules and the fact that a digital archive with one copy is worse than the shoebox it replaced.

Short answer

Decide what must stay on paper — certificates, deeds, wills and identity documents — and scan the rest. Scan to searchable PDF at around 300 dpi, name every file by date, source and subject in a consistent order, and file into a small number of broad folders rather than a deep tree. Then back it up properly, with one copy offsite, before shredding anything. A single copy on one computer is a worse archive than a drawer.

Paperless projects fail in one of two ways: they stall because the scanning is tedious, or they succeed and then the drive dies. Both are avoidable, and the second is the serious one.

Some documents must be kept as originals and a scan will not do: passports, birth, marriage and death certificates, share certificates, deeds, wills and certain legal and immigration papers. Scan them for reference by all means, and keep the originals safe. Never shred a document until you have confirmed the scan is complete, readable and backed up.

  1. Scan these too, for reference and for replacement purposes, and keep the paper in one labelled place.
  2. Decide how long to keep the rest.Retention periods are the thing that keeps the archive small. Tax records have a required period that depends on your circumstances and is published by HMRC. Warranties last as long as the item. Utility bills are needed for a much shorter time than people keep them. Look up the current requirements for your own situation rather than keeping everything forever.
  3. Settle the naming convention before you scan anything.Date first in year-month-day order so files sort chronologically, then the organisation, then what it is. Consistency matters far more than the particular scheme. This single decision is what makes the archive usable in five years.
  4. Keep the folder structure shallow.A handful of top-level folders — house, money, vehicles, health, work, family — with a year inside where it helps. Deep trees are slow to file into, which is why people stop filing. Search plus good names does the rest.
  5. Scan to searchable PDF.Around 300 dpi, greyscale for text, with recognition on. A document scanner with a feeder is transformative for a backlog; a phone app is fine for the steady trickle afterwards.
  6. Capture the incoming flow at source.Most statements and bills are already available as PDFs from the provider. Downloading the original is better than scanning a printout, and switching to paperless billing stops the paper arriving. Do this before working through the backlog, or the backlog will grow while you scan.
  7. Back up before you shred anything.Three copies, two kinds of storage, one elsewhere. The digital archive is now the only record, and that raises the stakes considerably. Verify by restoring a sample and opening it.
  8. Shred properly.A cross-cut shredder for anything with account numbers, addresses or signatures. Bank statements, anything with a full account number, and pre-approved credit offers are the priority. Do this in batches after each verification, not as you go.
  9. Build the habit, not just the archive.Ten minutes a week to file what came in, and an hour once a year to purge what has passed its retention period. Without both, you have a snapshot that ages rather than a working system.

Tips

  • Scan the backlog by category rather than chronologically. Motivation lasts longer when a whole category finishes.
  • Photograph receipts for anything under warranty and file them with the manual — receipts on thermal paper fade to blank within a few years.
  • Keep a single document listing where everything is, physical and digital, and tell someone else it exists. It is the most useful page in the archive.
  • Do not scan what you can download. Provider PDFs are cleaner, smaller, already searchable and often carry a verification the scan does not.

Questions people ask

Are scans accepted instead of originals?

It depends entirely on who is asking. Many organisations accept a clear scan or a certified copy; some require the original in person. Keep the originals for anything you cannot replace, and be aware that a scan of a certificate is not a certified copy.

How long should I keep tax records?

There is a required minimum and it differs between individuals, the self-employed and companies. HMRC publishes the current periods; check theirs rather than relying on a remembered figure, and keep the records for the longer of that period and any ongoing enquiry.

What format should I use?

PDF, with recognised text. It is the format most likely to still open in twenty years, it holds multi-page documents, and everything reads it. Avoid proprietary scanner formats.

Is it worth buying a document scanner?

If you have a filing cabinet to work through, yes — a feeder scanner turns a month of evenings into a weekend. For the ongoing trickle afterwards, a phone app is genuinely sufficient.
